Job Description

  • Act as a receptionist for the office, greeting onsite guests, vendors, mail and logistic deliveries
  • Coordinate and provide high-quality administrative support
  • Handling incoming and outgoing mail
  • Processing of invoices
  • Processing of purchase orders
  • Filing and scanning
  • Organizing travel arrangements including visa applications
  • Drive ad hoc local projects; e.g. office move and marketing events.
  • Liasing with relocation agents and other third parties
  • Responsible for shipping and logistics
  • Purchasing and ordering office supplies
  • Liaise with Facility and IT support teams
  • Assisting with the onboarding and off-boarding processes and administration
  • Assist HR Manager by posting job adverts across different channels
  • Coordinate the scheduling and invitation of candidates for interviews and follow up on interview outcomes with candidates or recruitment agencies.
  • Circulate and maintain updated HR information, documenting internal procedures upon request.
  • Reconciliation of credit card statements and expenses
  • Support finance function with ad-hoc duties
  • Support event organizations
  • Organize catering
  • Office management and organization

Requirements

  • Proficiency in French and English (written and spoken) is mandatory.
  • Proven experience in administration or a similar role in Switzerland.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion
  • Ability to work in a fast-paced environment.
